Schedule a report
Add a schedule to a saved report so it emails itself on a cadence, shown on Northwind weekly tickets.
What you will have
- Add a schedule to a saved report so it emails a CSV of its own data without anyone opening it by hand.
- Pick how often it goes out, at what time, and who is on the send.
- Read the schedule row for what it will do next, and change it later without deleting it.
Why it works this way
The time typed here is this instance's own clock, not the reader's and not a machine's, the same sentence the page shows above the form.
Sent to takes a raw email address as well as a staff or client contact, so a schedule can reach someone with no login on this instance at all.
Each occurrence sends once, as one email with the CSV file attached, from the tenant's own connected mailbox. There is no second, platform-level mail door behind it.
Steps
Open a saved report and click New schedule in its Schedule card.
The Schedule card sits under the report's own chart or table. New schedule opens a blank form; an existing schedule already on this report would list here instead.
Open a saved report and click New schedule in its Schedule card. Pick Repeats, the day, and the time.
Repeats offers Every day, Every week, or Every month. Every week adds a Day of the week field. Time is a plain clock field, and the note underneath it repeats that this is the instance's own time, not the reader's.
Pick Repeats, the day, and the time. Click Add recipient, type an address, and pick it.
Typing searches staff and client contacts by name or email, and also offers Send to the exact text typed, so an address with no account on this instance can be added the same way.
Click Add recipient, type an address, and pick it. Click Create.
Sent to now shows the picked address as a chip. Create adds the schedule; Cancel discards the form without saving anything.
Click Create. Read the new row in the Schedule table.
When names the cadence in plain words, Sent to lists the recipients, and Last send reads Not sent yet until its first occurrence goes out. Turn off pauses it without deleting it.
Read the new row in the Schedule table. Click the row to change it, then click Save.
Clicking anywhere on a schedule's row reopens the same form, pre-filled, for that schedule. Nothing about a schedule can be changed without reopening it this way; there is no inline edit on the row itself.
Note: The Trash icon on a schedule's row deletes it outright, with a confirm dialog first. Turn off is the reversible choice; delete is not.Click the row to change it, then click Save. Read the result after the change.
The row now shows the new time. A schedule always shows exactly one occurrence description at a time; there is no history of earlier edits on this screen.
Read the result after the change.
Other ways to do this
Download CSV
Open the report and click the CSV button next to Chart and Table.
Pin to Dashboard
Use the report card's Actions menu on Reports > Saved Reports.
If it did not work
- If this instance has no mailbox connected, a schedule still saves, but its next occurrence fails loud: the row's Last send names the missing mailbox instead of a date, rather than sending from a stranger's address or failing silently.
- Deleting the saved report itself removes every schedule on it; there is no way to keep a schedule once its report is gone.
Questions this page answers
Can this report be emailed on a schedule?
Yes. Open the report and use the Schedule card. Pick how often it goes out, pick a time, and add the people to send it to. Each send is one email with the CSV file on it. It leaves from your own mailbox, and the times are this instance's clock.
